Event coverage is a discipline of judgement more than technique. Anyone can point a camera at a keynote speaker; the harder skill is knowing when to move quietly, when to shoot from the back, when to shoot from the front, and when to leave the room entirely so the moment can happen without a lens in it. Corporate conferences, product launches, brand activations, press events and private dinners across Cape Town and Johannesburg all reward a photographer who understands the run of show and disappears when they are not needed.
TimeSake Media covers events with a dual-body Sony A7 IV setup, 24–70mm GM and 70–200mm GM primes, on-camera flash used sparingly, and a Rode wireless kit for any interview capture. Every event brief starts with the run of show, the client's press image priorities, and the release schedule for socials — a launch that needs a same-night 60-second reel gets a different edit plan on the day than a conference that only needs a Monday-morning gallery.
Run of show and the shot list
Two days before the event we walk through the run of show with the client — every speaker slot, every product reveal, every award moment, every VIP arrival window. The shot list is built around that: the CEO's keynote gets three angles, the product reveal gets a slow-motion capture and a locked wide, the sponsor logos get considered coverage every 20 minutes so the recap deck fills without staged imagery, and the guest-experience moments — the arrival, the canapé pass, the after-party — get captured naturally without asking the guest to pose. Second-shooter briefings happen the same day so the two of us are never in the same corner missing opposite sides of the room.
Working quietly
The best event photographers are the ones nobody remembers seeing. That means shooting on prime lenses at a distance where possible, keeping flash on-camera and pointed away from the speaker's eyeline, moving in the interval and not through the applause, and never asking the venue to hold service for a photo. Ushers and the venue's AV team get briefed at the pre-event walk-through so they know where we will be during the important moments. On tightly-produced conferences we work in dark clothing and soft-soled shoes and stay off any camera platform that a speaker's own camera team is using.
Live socials and the same-night reel
For product launches and brand activations that need to be live on socials while the event is running, we drop a 20-image selection into a shared Google Drive folder every hour so the client's social team can push in real time. The same-night highlight reel runs on a 90-minute edit turnaround from the last speaker off stage — a 60-second cut that hits the emotional peaks of the evening and lands on Instagram before the guests are home. That reel doubles as the press asset for Monday morning outreach and typically outperforms the full recap film in engagement.
Corporate conferences and multi-day rhythm
Corporate conferences across the CTICC, Century City Conference Centre, the Sandton Convention Centre and Emperors Palace need a different pace — we bring a second shooter, offload cards to a backup drive every two hours, and rotate through the plenary, breakouts and sponsor stands so the coverage feels complete. Multi-day events get a nightly cull and preview so the CMO can approve press images before the next morning starts. Awards nights and gala dinners are shot with two bodies plus a dedicated backstage angle so the trophy-collection moment always has a clean frame.
Delivery, embargoes and PR use
Turnaround is a 24-hour preview selection, a 72-hour full gallery, and a 7-day long-form recap film where the mandate includes video. Every event ships a PR-ready press image selection — 8 to 15 frames — hand-picked to work in the client's press release and any editorial pickup that follows. Embargo dates on the delivery are honoured; where the client's PR agency needs the imagery under NDA until launch, we deliver via password-protected link with the embargo date printed on the folder. Corporate and PR-agency mandates get standard NDA cover countersigned before the event.
